Timesheet Tool • PRODUCT DESIGN
Development of a timesheet tool for the production teams at Prodigious and Great. This is an online interface connected to FileMaker, designed to simplify and speed up time entry. The tool is also available on mobile as a web app, ensuring optimal accessibility.
Context
Internal time-tracking tool connected to FileMaker Pro, used to monitor project costs and workloads.
The tool was optimized for finance and accounting teams but was complex and backend-driven for experts who had to enter their time on a daily basis.
Users included:
• developers
• designers
• video producers
• and project or product managers with very different usage patterns.
The goal was to make time entry fast, intuitive, and accessible without breaking existing backend constraints.
Problem
Users avoided the tool because it was difficult to understand and cognitively overwhelming, which resulted in late, incorrect, or missing timesheets.
Main issues:
• The interface exposed backend logic
• required repetitive steps
• lacked clear information hierarchy
• generated a high cognitive load for daily usage.
Approach
I conducted internal interviews with all user profiles to understand workflows, constraints, and pain points. I identified recurring usability issues and differences in usage patterns, then benchmarked existing time-tracking tools. Based on these insights, I created wireframes to define a simplified navigation and iterated on the solution with stakeholders.
Solution
Key UX decisions:
• Clear information hierarchy
• Simplified navigation with 3 main tabs: My jobs, Search, Extras
• Calendar-based view (day / week)
• Easy job search and editing
• Time summaries and color coding
• No deep sub-navigation
UI and prototyping:
Clean and readable UI inspired by familiar calendar patternsHigh-fidelity prototype to validate interactionsIterative refinements based on user feedback
Delivery & Impact
Developed in React, available on desktop and mobileHigher completion rate of timesheetsLess user support neededFaster onboarding for new employees
